Privacy Policy

Your privacy matters to us. This policy explains what information we collect, why, and the rights you have over it.

Last updated: October 2026

Who we are

Our Agents Ltd ("we", "us", "our") is an estate agency covering Northumberland, registered in England and Wales under company number 13918827, with its registered office at Tower Buildings, 9 Oldgate, Morpeth, Northumberland, NE61 1PY. We are the data controller responsible for your personal data. This policy applies to information we collect through this website, by phone, email, WhatsApp, or in person.

Information we collect

We may collect and process the following:

  • Contact details — your name, email address, phone number and postal address.
  • Property information — details about a property you are selling, buying, or enquiring about.
  • Search preferences — the areas, price ranges and property types you register an interest in.
  • Identity & financial information — where required by law, such as anti-money-laundering (AML) checks.
  • Technical data — limited information about your device and how you use our website (see our Cookie Policy).

How we use your information

We use your personal data to:

  • Respond to your enquiries and provide our estate agency services.
  • Arrange valuations, viewings and property alerts you have requested.
  • Progress a sale or purchase, including liaising with solicitors and other parties.
  • Meet our legal obligations, including identity and AML checks.
  • Send you service updates and, where you have consented, marketing about relevant properties and services.

Our lawful bases

We rely on one or more of the following lawful bases under UK GDPR: your consent; the performance of a contract with you; our legitimate interests in running and marketing our business; and compliance with our legal obligations.

Sharing your information

We never sell your data. We may share it with trusted parties who help us deliver our services — such as conveyancers, mortgage advisers, photographers and IT providers — and with regulators or authorities where the law requires. Any partner handling your data is required to keep it secure and use it only for the agreed purpose.

Hot Buyers (our buyer demand service)

If you register as a buyer on Hot Buyers, we show your property requirements (area, budget range, property type and key features) to homeowners as an anonymous card. We never publish your full name, email address, telephone number or financial details, and buyers and homeowners cannot contact each other directly: Our Agents makes every introduction. Your requirements are only shown after we have checked your financial position and approved them. You can pause or withdraw at any time from your dashboard or by emailing [email protected].

As a condition of using Hot Buyers, and with your permission, we pass your name, contact details, budget and buying position to Brian, a mortgage adviser at MFS ([email protected]), so he can contact you about a mortgage, and/or your name, contact details and price range to Burghthorpe ([email protected]) so they can send you a conveyancing quotation. To be shown to homeowners, a buyer who needs a mortgage arranges it through Brian and every buyer instructs Burghthorpe, so sellers know the buyer is qualified and ready to proceed. Our Agents may receive a fee from either business if you go on to use their service; this never costs you more, and you are told before you agree. Requesting a quotation does not mean you have instructed a solicitor. We record when and how you gave each permission, and you can withdraw it at any time. Only your title and the first letter of your surname (for example Mr and Mrs S) are shown publicly, never your full name.

How long we keep it

We keep personal data only for as long as necessary for the purposes set out above, or to meet legal and regulatory requirements (for example, AML records are retained for at least five years).

Your rights

Under UK data protection law you have the right to access, correct, erase, restrict or object to our use of your personal data, and the right to data portability. Where we rely on consent, you can withdraw it at any time. To exercise any right, contact us using the details below.

Security

We use appropriate technical and organisational measures to protect your information against loss, misuse and unauthorised access.

Complaints

If you have a concern, please contact us first so we can put things right. You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk.
